It’s beginning to look a lot like… chafing dishes and guest lists? While it may seem like the pumpkin spice aromas have only just begun wafting through the crisp autumn air, those sleigh bells will be ringing before you know it. It’s the calm before the (snow)storm, which means now’s the time to get a head start on your holiday celebrations so you’re not left scrambling at the last minute.
Not sure where to start? Below, we’re sharing a few tips to stay ahead of the holiday rush to ensure your event is a success.
Choose the perfect theme
First thing’s first: decide on a look, feel and theme for your event; it will set the tone for everything else. It can be hyper specific (Dunder Mifflin Paper Company holiday party theme, anyone?) or more of a general vibe (i.e. understated elegance). Keep your theming consistent throughout your planning, from color scheme to dress code and even the music playlist. Once you have a jumping off point for look and feel, get to work on corresponding graphic design, which makes selecting elements like table linens and lighting much easier. Need a little help? Our graphic designers excel in customizing everything from invitations to table numbers and our project managers are great at making lists and checking them twice. Don’t worry: we’ve got you.
Pick a place
This is something you don’t want to leave to the last minute: some of the best venues are booked months in advance. If you haven’t already, start making calls to tour venues that fit your event size, budget and overall vibe. Don’t forget to ask about crucial venue-related elements like parking/valet, set-up and tear-down times and whether you’re expected to use an in-house caterer or any other vendors. If a Google search for “Oklahoma event venues” has you feeling like you need some smelling salts, never fear: our team is well-versed in venues across the state that would suit your event needs. We’re happy to give you ideas, make calls and accompany you on site visits.
Spread the word
Once everything else is buttoned up, it’s time to round up those RSVPs! You can send invitations by mail or electronically, and even in targeted communications like newsletters and corporate memos. Keep track of responses in a spreadsheet or through automated software like Evite or Paperless Post. Don’t forget to ask the important questions about dietary restrictions and plus-ones, and be clear about crucial info including parking and expected attire. Pro tip: Our holiday helpers are professionals in this area and happy to help you with all the ins and outs of guest lists, RSVPs and planning.
